The project.
You already know what needs to change: the website, the collections record, the server that has become a risk. Name it. We scope it, do it properly, and hand it back working.
WHAT WE DO
You know something has to change. We know what first. Nobody calls us in an emergency. They call because the institution should work better than it does, and no one has had time to see the whole of it. We see it first. Then we bring what you already have up to date and make it work as one, so nothing depends on one person remembering.
TWO WAYS TO BEGIN
Either way, the first conversation costs nothing, and the plan is yours to keep.
You already know what needs to change: the website, the collections record, the server that has become a risk. Name it. We scope it, do it properly, and hand it back working.
Nothing has failed, and yet the days run longer than the work should require. We spend a few weeks alongside the team, follow how the work actually moves, and draw a map of the institution. The plan begins wherever the most time is being lost.
THE SERVICES
The systems people touch every day: website, CMS, newsletter, donor records, volunteers, social tools. Rebuilt to work together.
The systems nobody sees until they fail: servers, cloud, backups, accounts, security. Moved, secured, documented.
You don’t know where to start. We do. A few weeks inside the institution, ending in a plan you can carry out with or without us.
HOW WE WORK
For a defined problem, the diagnostic is short. For a tired team, the diagnostic is the work.
HOW WE BUILD
Everything we set up assumes you will grow. Five people today, fifty in a few years: the tools, the permissions, the data, the costs are chosen so that nothing has to be torn out and rebuilt on the way up.
Tools, permissions, and data that hold at five people and at fifty.
The most capable option inside what you can carry, not the most expensive one.
Current, well-supported technology only. Nothing that is old in three years.
Nothing switched off until the old record and the new one agree.
We work the way we advise. Systems we supervise carry the searching, drafting, testing, and documenting; people who know the field review every decision. A practice this size can therefore take on this scope, and keep its price within reach of a nonprofit.
IN PRACTICE
Tom of Finland Foundation. Delivered work stated as fact, without figures. The Labs half carries its status.
Web hosting renewed. CMS rebuilt on a platform the staff edits directly. Donor management software introduced. Volunteer management, newsletter platform, and social media tooling replaced and connected.
Aging local server recovered and its applications restored. Migration to the cloud, validated file by file. Backup architecture with offsite copies and tested restores. Accounts, permissions, and access security rebuilt.
Collections management established as the groundwork for catalogue research. A catalogue raisonné methodology in exploratory pilot: machines search, transcribe, match, and reconstruct; the Foundation’s scholars decide.
RESEARCH PILOTTHE DIAGNOSTIC LOOKS AT
A diagnostic looks at all of it. Not because everything is broken, but because time leaks from the places nobody is watching.
